SharePoint Document Management

SharePoint document management features are basically:

    1. Easy Access
      SharePoint sites can be accessed internally and externally. You can also use PC or mobile devices as you wish.
    2. Libraries
      You can segregate libraries that store SharePoint documents by department or by specific purposes. eg. Information library, Education documents etc…
    3. Security
      You can authorize in SharePoint site > Subsite > Library > Folder > Document hierarchy. Authorization works on the principle of top-down inheritance. You can authorize by AD users or SharePoint groups.
    4. Versioning
      You can have it done with automatic revision, especially in office documents such as Word, Excel, PowerPoint.
    5. Collaboration
      You can have multiple users work on the same documents.
    6. Templates
      You can make frequently used documents as templates and create new documents from these templates. (Ex. Offer form)
    7. Classification and Filtering
      You can simplify classification and filtering by adding additional information fields to documents.
    8. Search
      You can search documents on the entire site with a single search function. It also searches for text in documents containing text such as word, excel, pdf.
    9. By using Offline Work
      Sync features, you can provide offline use by mapping certain libraries such as OneDrive to a space on the user’s computer.
    10. Workflows
      You can set up approval mechanisms to be triggered by adding or changing a new document in the libraries you want. eg. When the x document is filled, it goes to an administrator’s approval or a notification mail is sent to a user..
